kaboodle AI privacy and confidentiality policy

This policy gives you information on how DIY Resolutions Pty Ltd and DIY NZ Pty Ltd (“we”, “us”, “our”) may collect, use, store, and protect your Personal Data when you interact with our AI Chatbot. This policy is supplemental to and should be read in conjunction with our Privacy Policy which you can view it here.

"Personal Data" has the same meaning as 'personal information' set out in the Privacy Act 1988 (Cth) and (in summary) means information or an opinion about an identified individual or an individual who is reasonably identifiable, whether true or otherwise

about our AI chatbot

The primary purpose of our AI Chatbot is to assist users in navigating the Kaboodle website https://kaboodle.com.au, answering questions, providing product information, and offering support related to Kaboodle products and services.

The AI Chatbot is programmed to deliver responses based on the information available on the Kaboodle website. It can provide general information, answer frequently asked questions, assist with product inquiries, and guide users through the website's features and functionalities.

While our AI Chatbot strives to provide accurate and helpful information, it may not be able to address every query or issue. In such cases, users may be directed to alternative support channels or resources for further assistance.

information we collect

voluntary information

We collect information that you voluntarily provide to us through the interactions with the AI Chatbot. This can include, but is not limited to, messages you send, questions you ask, and any other data you choose to share. We do not generally collect Personal Data via our chatbot.

inadvertent submission of personal data

If Personal Data is inadvertently submitted to our AI Chatbot during your interactions, our AI Chatbot is trained to identify and redact Personal Data using an automated process to avoid it being saved in the AI Chatbot database. If any Personal Data is not identified and redacted through this process, it will be handled in accordance with this AI Privacy and Confidentiality Policy and our Privacy Policy which you can view here.

use of collected data

We use the data collected through our AI Chatbot to provide you with our services, including responding to your queries and delivering relevant information, and only process data collected by our AI Chatbot to the extent such processing is necessary for the purposes outlined in this AI Privacy and Confidentiality Policy or for our legitimate business purposes. Please refer to the 'Data Security' section for further information regarding how we protect such data.

We may disclose data collected by our AI Chatbot with our suppliers or sub-processors, some of which may be located overseas.

The data collected through our AI Chatbot is used for the following purposes:

  • Abuse Monitoring: To monitor and prevent abusive behaviour.

  • Quality Checks: To ensure the quality of the chatbot service.

  • Service Improvement: To enhance and improve the functionality of the chatbot.

  • Microsoft Azure OpenAI: Data is securely transmitted and stored on Microsoft Azure’s OpenAI service for 30 days.

  • Service Database: Anonymised data is stored indefinitely.

We take appropriate security measures to prevent unauthorised access, disclosure, modification, or unauthorised destruction of the data we hold, including but not limited to implementing security measures such as data encryption, access controls, regular security assessments and data integrity checks.

anonymity

Users who use our AI Chatbot are assigned randomly generated strings for anonymity. Users are not identifiable beyond this marker.

secure deletion

When data is no longer needed for the specified purposes, it is securely deleted or anonymised.

data sharing

third parties

Except as otherwise disclosed in this AI Privacy and Confidentiality Policy, we do not share data collected by our AI Chatbot with third parties.

sub-processors

Our AI Chatbot uses Microsoft Azure OpenAI as a sub-processor. Data is securely transmitted and stored for up to 30 days for abuse checks before being automatically deleted. More information about Microsoft Azure OpenAI’s Privacy Policy can be found here.

supplier

Revium is our supplier of the AI Chatbot. They process any data provided by you on our behalf and in accordance with a data processor agreement entered into with us.

user consent

By interacting with our AI Chatbot, you consent to the collection and use of your data as described in this AI Privacy and Confidentiality Policy.

user rights

data access and rectification

Users have the right to request access to, or rectification of their Personal Data. To exercise these rights, please provide a formal request to us via email as set out in our Privacy Policy, including the randomly generated user ID you were assigned when utilising the AI Chatbot service. We will process such requests in accordance with our standard procedures.

changes to this AI privacy and confidentiality policy

We may change or update this AI Privacy and Confidentiality Policy at any time and create a notification on our AI Chatbot advising of significant changes. The latest version of this Policy will be available on our website and was last updated on 29 September 2025.
